How To Use the Employee Loan Tracker Template?
This template consists of 3 sheets:
- Employee Loan Master
- Employee Installment Receipt Register
- Employee-wise Loan Ledger Generator
Let’s discuss the working of each of these sheets in detail.
Note: Only enter data in the white columns as the orange columns consist of formulas.
Employee Loan Master
The Master sheet consists of loans given to employees. You need to enter a loan amount and number of installments, and the sheet automatically calculates the installment amount for you.
This sheet consists of the following fields:
Emp ID
Employee Name
Company Name
Designation
Loan Amount
No. Of Installments
Installment Amount
Installments Paid
Amount Received
Balance
Moreover, this sheet also fetches the number of installments received from the employee, the installment amount, and the balance amount to be paid by the employee from the Employee Installment Receipt Register.
Employee Installment Receipt Register
Every month when your employee pays an installment, you need to make entries in this sheet.
This sheet consists of the following columns:
Emp ID
Employee Name
Company Name
Designation
Loan Amount
No. Of Installments
Installment Amount
Payment Date
Payment Month
Payment Amount
Just enter the employee ID, and it will fetch the rest of the details such as name, designation, company, loan amount, number of installments, and installment amount.
You only need to enter the date on which the installment is received, and it fetches the installment amount automatically.
If an employee makes a payment of a lower or higher amount, then you need to insert the amount manually.
The top row displays the total amount of loan given to all employees, the amount received from them till now, and the amount outstanding to collect from them.
Employee Loan Ledger Generator
The previous sheet displays the payments.
You can generate a separate register for each employee by using this file.
Just enter the EMP ID and press “Enter” or press the arrow key.
Then click on the “Fetch Data” button, and the template will automatically fetch the data from payments for that particular employee from the Employee Installment Receipt Register.
Loans with Interest
In case you are giving a loan to your employees with interest, then you need to put the loan amount with interest in the loan amount column in the “Employee Loan Master” sheet. This will reflect the installment amount with interest.
