What is Salary Certificate?

Salary Certificate is a Human Resource document to verify an employee’s employment, salary, pay grade, location, etc. The employer issues this letter upon request to his/her employees for a specific purpose. It is similar to a Salary Slip every month. But consists of a specific purpose.

The employer issues two types of Salary Certificates depending on the requirement. One mentioning only the CTC of the employee other with a complete salary breakup.

Components of a Salary Certificate

A normal salary certificate consists of:

  • Employee name
  • Employee id
  • Designation
  • Department
  • Location
  • Annual CTC

Whereas a salary certificate with complete salary breakup consists of:

  • Basic Pay
  • Allowances (Medical, Conveyance, HRA, Travel Allowance, etc)
  • Gross Pay
  • Deductions (TDS, EPF, Professional Tax, Insurance, etc)
  • Net Pay

How To Use Salary Certificate Excel Template?

5 step process to easily generate a salary certificate in minutes:

  1. Enter salary data of employee in Employee Sheet or import from Salary Sheet.
  2. Enter the reason for issuing the letter.
  3. Go to desired Salary Certificate Format (With CTC or With Salary BreakUp)
  4. Select Employee ID from the dropdown list.
  5. Print the Desired format (With or WIthout employee photo).

Employee Register

The Employee Register consists of monthly salary data of employees. It consists of 5 sections.

Company Details

Employee data

The company details section consists of the following:

  • Company name
  • Company Address
  • Phone and Email
  • Authority
  • Designation

The template displays the Company name, address, phone, and email as a letterhead in the template. It displays the name of the company, signing authority, and designation at the end of each letter.

Employee Basic Information

The employee information section consists of the following:

  • Employee ID
  • Prefix
  • Employee Name
  • Designation
  • Department
  • Location

CTC Details

  • CTC per Annum
  • CTC Monthly
  • Basic Salary

CTC monthly is CTC per annum divided by 12 months.

Allowances Section

Allowances section consists of the following:

  • House Rent Allowance
  • Conveyance Allowance
  • Medical Allowance
  • Special Allowance
  • Others if any

Total allowance and Gross salary columns consist of predefined formulas. Hence, they are auto-populated, and no need to enter any data in these columns.

Deduction Section

The deduction section consists of the following:

Similar to the allowance section, the Total Deductions and Net salary columns consist of predefined formulas. Hence, they are auto-populated, and no need to enter any data in these columns.

In addition to that, this section also consists of another column for inserting the reason for issuing the Salary certificate. This will be displayed in the subject of the Salary Certificate.

Additionally, all these details are to be entered only once. Whenever, an employee leaves the company, is promoted, demoted, or a recruit these will details change.

Salary Certificate Template (With CTC and With Salary Breakup)

In both sheets, you don’t need to enter anything. On the top right-hand side, select the Employee ID from the dropdown list.

That’s it. The template fetches the data of the respective employee. The sheet has been programmed with Vlookup. Your salary certificate is ready to print.

There are 4 types of salary certificates that you can print:

  1. On Letterhead with employee photo.
  2. On letterhead without employee photo
  3. Without letterhead with employee photo.
  4. Without letterhead without employee photo.

Moreover, when the user gives the print command, you can choose pages 1,2,3, or 4 depending on your requirement.
